Welcome to SoU Zim Team Builders and Tours (“SoU Zim”). By using our website and services, you agree to comply with and be bound by the following terms and conditions.

1. Introduction

SoU Zim is a subsidiary of ZimTours (established 2013). These terms govern the use of the SoU Zim website and the booking of our specialized team-building and tour services.

2. Third-Party Links & Affiliate Disclosure

Our website contains links to third-party websites and integrated booking widgets (including but not limited to Expedia, Booking.com, and TripAdvisor).

  • Affiliate Relationship: SoU Zim is a participant in the Travelpayouts Affiliate Network. We may earn a small commission if you book travel services through the links or widgets provided on our site at no extra cost to you.

  • Independent Providers: These third-party services (flights, car rentals, hotel stays) are provided by independent companies. SoU Zim does not own, operate, or control these providers.

  • Liability Limitation: Any booking made through a third-party link is a contract between you and that specific service provider. SoU Zim is not responsible for flight cancellations, luggage loss, hotel overbookings, or any disputes arising from third-party reservations.

3. SoU Zim Signature Services

For tours and team-building events managed directly by SoU Zim (facilitated packages):

  • Quotes: All quotes are valid for 14 days unless otherwise stated.

  • Confirmation: A booking is only confirmed once a deposit (as specified in your quote) has been received and cleared.

  • Cross-Border Travel: It is the responsibility of the client/traveler to ensure they possess valid passports (6 months validity) and required visas for SADC transit.

4. Cancellation & Refund Policy

  • Third-Party Bookings: Cancellations for flights or hotels booked via our affiliate links are governed strictly by the terms of the provider (e.g., Expedia’s refund policy).

  • SoU Zim Custom Tours: * Cancellations made more than 30 days prior to departure: [X]% refund of the total cost.

    • Cancellations made less than 14 days prior to departure: No refund applicable due to pre-paid logistical commitments.

5. Health, Safety, and Insurance

  • SoU Zim maintains high safety standards; however, participation in outdoor team-building activities is at the traveler’s own risk.

  • We strongly recommend that all clients (especially school groups) obtain comprehensive travel insurance covering medical emergencies and trip interruptions.

6. Use of Content

All content, logos, and branding related to SoU Zim and ZimTours are the intellectual property of the group. Unauthorized use of our “Spirit of Unity” materials is prohibited.

7. Governing Law

These terms are governed by the laws of the Republic of South Africa. Any disputes shall be subject to the exclusive jurisdiction of the South African courts.

Privacy Policy & Data Protection

How we handle your information with integrity.

1. Information Collection: When you request a quote or book a “SoU Zim Signature Tour,” we collect necessary details: names, contact information, group size, and dietary/medical requirements.

2. Use of Data:

  • Customization: We use your data to build your specific itinerary.

  • Safety: Medical and dietary info is shared only with relevant field facilitators and lodge kitchens for your safety.

  • Communication: We may use your email to send tour updates or SADC travel tips. You can opt out at any time.

3. Third-Party Sharing (The Travelpayouts Clause): When you use our integrated booking widgets (Expedia, Booking.com, etc.), you are entering data directly into their secure systems. SoU Zim does not store your credit card or passport details for these third-party affiliate bookings.

4. Data Security: We implement administrative and technical measures to protect your personal information against unauthorized access, loss, or theft, in accordance with South Africa’s POPIA and Zimbabwe’s Data Protection standards.


 

A. Booking & Payments (SoU Zim Signature Tours)

  • Deposits: A 50% non-refundable deposit is required to secure your dates and block out our facilitators.

  • Final Balance: The remaining 50% must be settled 30 days prior to the tour departure date.

  • Surcharge Clause: SoU Zim reserves the right to adjust quotes in the event of extreme currency fluctuations within the SADC region (ZAR/USD/BWP) or sudden government-mandated fuel levy increases.

B. Third-Party Intermediary Disclaimer

  • Affiliate Status: SoU Zim acts as an affiliate marketer for Travelpayouts. We provide a convenient portal for you to access global travel brands.

  • Service Delivery: We are not the “Merchant of Record” for flights or hotels booked via these links. If a flight is delayed or a hotel room is unsatisfactory, your recourse lies directly with the airline or hotel group. We provide the “Toolbox”; they provide the “Tool.”

C. Conduct & Safety

  • Right of Refusal: SoU Zim facilitators reserve the right to remove any participant from an activity if their behavior poses a safety risk to themselves or the group.

  • Insurance: By booking with us, you acknowledge that outdoor team building carries inherent risks. While we maintain Professional Indemnity Insurance, all participants are encouraged to have personal medical/travel cover.

D. Cross-Border Logistics

  • Documentation: SoU Zim is not liable for any traveler denied entry at a border (e.g., Beitbridge, Plumtree, or Lebombo) due to invalid passports, expired visas, or missing Unabridged Birth Certificates for minors.
